QUICK GUIDE / INVENTORY TRACKER

Choose the task you need.

These are separate tasks, not one long sequence.

Back to preview

Important: This local preview has no Google connection or real login. Do not enter real customer information. Browser storage is not a production database. The future Google Sheet is the master; the app is a second way to work with it.

A · Find and edit an existing record

  1. Choose Enter fictional preview.
  2. Type a name, tracking number, invoice, or other field value into Find a record. Try Example Workshop.
  3. Choose Search. The Working tab does not limit the search. Nothing is listed for a blank search.
  4. Under Matching records — Open and edit, select the result from the tab you intended to edit.
  5. Change the fields and choose Save record. For a different renter, use the renter workflow below instead of overwriting the customer name.

Cancel search stops the read-only wait. It does not cancel a save that has already been confirmed.

B · Add a new record

  1. Select the appropriate Working tab.
  2. Choose Add new, fill in required fields marked with *, and save.
  3. For a new rental, first open the Inventory unit and choose Change renter / Start rental. Do not add a disconnected rental row.

Payments and carrier bills are separate. Add an Allocation for each payment-to-bill amount. One payment may pay several bills. The preview refuses over-allocation.

C · Work from the master preview

  1. Choose Open master preview in the header after entering the preview.
  2. Use the bottom tabs. Inventory is permanent unit information; Rentals shows active rentals, and Rental Archive preserves former renters.
  3. Choose Edit row to open that record's entry form. Save it, then return to the master preview to see the change.

This is a sheet-style reference, not Google Sheets. The eventual live sheet supports direct grid editing; that integration must be built and tested for the customer. Do not delete IDs, change protected headers, or overwrite outgoing renters.

D · Move out or replace a renter

  1. Search for the exact unit or current renter. Open its Inventory or active rental record.
  2. Choose Change renter / Start rental, then the appropriate action.
  3. For move-out, enter the notice date and physical move-out date. The preview calculates billing end using that rental's due day and a 10-day notice rule.
  4. Only check Return inspection has actually passed when it has. Without it, Inventory becomes Inspection Required. With it, the unit becomes Rental Available.
  5. To replace a renter, also enter the new customer's name, rental start date, type and due day. A passed return inspection is required.
  6. Choose Review renter change, read each proposal, then Confirm and apply or Cancel review.

The old rental moves to Rental Archive with its debt and history. Inventory is not archived. The new renter receives a new rental ID and no inherited debt. Correcting the same person's spelling is a separate action that preserves that rental.

E · Check linked records

  1. After changing a unit's size or location in Inventory, type its full tracking number in the search field.
  2. Choose Check linked records for this search. This uses the typed search, not the Working tab or last opened record.
  3. Read the scope and matched-unit count. Short numbers can match more than one record.
  4. Review changes and warnings. The preview can copy unit size and location into the active rental. Customer conflicts require the renter workflow, not a blind overwrite.
  5. Confirm and apply only the changes you intend. Cancel check stops the read-only wait; Cancel review discards proposals.

To check everything, expand Whole-inventory check and explicitly choose Check all inventory. Reviews expire after 10 minutes or another edit.

F · Inspections, movements and documents

Add an Inspection for a returned unit. Passed means Rental Available; Failed means Maintenance Hold. Complete a Pickup only after moving out its renter. Dry Run has no physical unit transition. Customer charge and carrier bill are different amounts.

Ticket documents are optional HTTPS links, not database attachments. A movement appears in Ticket Copy Pending only if Track ticket copy is enabled and its link is blank. No file-upload service is included in this starter.

G · Limits and reset

Reset fictional data restores all samples in this browser. It never touches a real spreadsheet. This preview is not authenticated, multi-user safe, a backup service, or ready for private customer information. For implementation options, view pricing or explore all demos.
